This notice explains how the Summertopia Trail in Bexhill-on-Sea works, what data is used, how children and families can take part safely, and what external services are involved.
This notice applies only to the Summertopia Trail, Bexhill-on-Sea. It is specific to this bespoke version of the trail and should be read separately from High Street Safari’s general website privacy policy and general trail terms.
1. About the trail
The Summertopia Trail is a free, family-friendly digital trail designed for children and families to enjoy around Bexhill-on-Sea.
Participants scan QR codes at trail stops using a mobile phone. The QR codes open web pages in the phone’s internet browser. No app download is required.
Some stops may include augmented reality effects, allowing families to view digital characters or scenes through the phone camera.
2. Adult supervision and parental consent
The trail is aimed at families and primary-school-age children.
Children should take part with the consent and supervision of a parent, guardian or responsible adult.
By allowing a child to take part, the supervising adult confirms that they are happy for the child to use the trail experience under their supervision.
The trail should not be used while crossing roads, walking near traffic, or in any situation where using a mobile phone could create a safety risk. Supervising adults remain responsible for children’s safety throughout the trail.
3. No participant registration required
This bespoke version of the Summertopia Trail does not require participant registration.
Participants do not need to provide:

an email address;

a name;

a postcode;

a school name;
-
a child’s age;
-
marketing consent;
-
any other personal information in order to take part.
Families can access the trail by scanning the QR codes and following the trail pages.
4. Data used during the trail
The trail uses limited technical and progress information so that the experience can work properly.
This may include:

which trail stops have been completed;
-
whether the trail has been completed;
-
overall completion statistics;
-
basic technical information needed to load the trail pages, such as browser/device type, IP address, request time and standard server/security logs.
This information is used only to:

provide access to the trail;
-
allow the trail to function correctly;
-
show trail progress;
-
provide anonymous or non-identifying participation/completion reporting;
-
maintain the security and reliability of the service.
It is not used for marketing.
It is not used to contact participants.
It is not sold to third parties.
5. No email marketing from trail participation
Because this bespoke trail does not require registration, High Street Safari does not collect participant email addresses as part of the trail.
Participants will not be added to a High Street Safari mailing list by taking part in this trail.
If Rother District Council or another project partner chooses to run a separate prize draw, feedback form or marketing sign-up, that would be separate from the trail and should include its own privacy information and consent wording.
6. Hosting and data location
This bespoke version of the Summertopia Trail is designed to avoid the standard third-party mapping and registration platform used for some High Street Safari package trails.
The trail pages are hosted using High Street Safari’s own UK/EU hosting setup.
For this bespoke setup:

no standard third-party trail registration platform is used;
-
no participant email registration is required;
-
no live third-party digital map is used;
-
an illustrated/static map may be used instead;
-
edge caching for the project pages can be disabled where required.
Basic technical server logs may still be created as part of normal website hosting, security and operation.
7. Maps and location information
This bespoke trail does not use a live third-party digital mapping service as part of the participant journey.
Where a map is needed, the trail may use an illustrated or static map hosted as part of the trail pages.
Participants are not required to share their live GPS location in order to take part.
8. Augmented reality and camera use
Some parts of the trail may use augmented reality effects.
Where AR effects are used, they are delivered through Snap Camera Kit in the mobile browser. Participants do not need the Snapchat app and do not need a Snapchat account.
The phone camera is used so that the AR effect can appear on screen. Camera access is controlled by the participant’s device/browser and must be allowed by the supervising adult or device user.
High Street Safari does not require personal information in order to access the AR effects.
9. Photos and selfies
The trail may allow participants to take photos or selfies with AR characters or scenes.
High Street Safari does not receive, upload or store these photos.
Photos are handled on the participant’s own device. If a participant chooses to save or share a photo, this is controlled by the participant’s device and chosen sharing method.
Supervising adults should decide whether children may take, save or share photos.
10. External services used for this trail
For this bespoke trail, external services are kept limited.
The trail may use:

High Street Safari’s website hosting provider, configured for UK/EU hosting;

Snap Camera Kit, only where AR effects are included;
-
standard browser/device services needed to load web pages and use the camera;
-
any separate Council-managed form or service, only if Rother District Council chooses to add a separate prize draw, feedback or marketing sign-up.
This bespoke trail does not use High Street Safari’s standard third-party trail mapping/registration platform.

This bespoke trail does not require families to create an account.
11. Cookies and analytics
This bespoke trail is designed not to use marketing analytics or advertising tracking.
The trail may use essential technical storage, such as session or progress information, so that the trail can remember which stops have been completed during the experience.
Any essential technical storage is used only to operate the trail and is not used for advertising or marketing profiling.
12. Prize draws, rewards or feedback forms
The trail may include a final reward message or completion screen.
If a physical or digital prize, prize draw, feedback form or marketing sign-up is offered, this will either:

be managed separately by Rother District Council or another project partner; or
-
be added to the trail only with separate privacy wording agreed in advance.
High Street Safari will not collect participant contact details for a prize draw, feedback form or marketing sign-up unless this has been clearly explained before the information is submitted.
13. Safety and responsible use
Participants should:

take part during safe and appropriate hours;
-
follow local rules, signs and instructions;
-
take care near roads, crossings, car parks and busy areas;
-
avoid blocking pavements, entrances or shopfronts;
-
respect local businesses, residents and other visitors;
-
stop using the phone when walking in unsafe areas.
High Street Safari and project partners are not responsible for unsafe use of a mobile phone during the trail.
14. Device compatibility
The trail is designed to work on modern smartphones with an up-to-date mobile browser.
AR features require camera access and may not work on every device, browser or connection.
If an AR feature does not load, participants may still be able to continue the trail using the non-AR trail content, depending on the stop design.
15. Accessibility
High Street Safari aims to make the trail as simple and accessible as possible.
Because the trail takes place in public spaces, accessibility may depend on the local environment, route conditions, weather, device type and mobile signal.

16. Changes to the trail
High Street Safari may need to update, amend, suspend or remove parts of the trail if there is a technical issue, safety concern, venue change, missing QR code, or other operational reason.
We will aim to keep the trail available during the advertised trail period, but we cannot guarantee uninterrupted availability.
